POSITION SUMMARY:  The Administrative Associate provides vital support to the daily business of Conservation Corps by implementing efficient administrative processes and ensuring smooth headquarters office operations. The Administrative Associate serves a cross-functional role by enhancing and supporting data management processes, collaborating with the finance department to implement nonprofit accounting best practices, and assisting with program delivery. This position will also assist the development department by providing fundraising support.



  • Manage programs database including maintaining data, reconciling data, and running reports
  • Assist Finance department with timekeeping tracking system management and processing credit card statements
  • Assist with general Finance duties as assigned
  • Assist Development department with donor recordkeeping, tracking, and acknowledgements
  • Assist Programs department with onboarding of program participants, including preparing hiring paperwork and assisting with participant entry into payroll system
  • Assist with planning and/or implementation of department and program-specific events as needed
  • Support and help manage office operations, including: staff reception area, serve as first point of contact for external inquiries, maintain office supply inventory and equipment, set up conference rooms, and provide some administrative support for the board of directors and senior staff.



  • Self-motivated, with proven ability to organize and prioritize work and meet critical deadlines.
  • Positive attitude, enthusiasm, and commitment to Conservation Corps mission and values.
  • Excellent organization and communication skills
  • Professional demeanor and good interpersonal skills
  • Experience managing databases and/or CRM (customer relationship management system)
  • Proficiency with MS Office Suite



  • Associates Degree in Business Administration or related field and/or at least one-year administrative assistant experience
  • Advanced proficiency with MS Excel
  • Experience using Salesforce
  • Previous experience with nonprofit organizations
  • Familiarity with AmeriCorps and/or environmental conservation work



  • This is a regular (benefits-eligible), full-time (40 hours/week), hourly position.
  • The Corps offers some flexibility in schedules, occasional evening and weekend work may be required
